Terms of Service

These terms govern access to the Astral Datos website and expense-management services. By using the service, you agree to these terms on behalf of yourself or the organization you represent.

1. Eligibility and authority

You must be legally able to enter into a binding agreement and, when using the service for an organization, be authorized to accept these terms for that organization. You are responsible for providing accurate account information and keeping it current.

2. Accounts and access

You are responsible for safeguarding credentials, configuring appropriate user roles and all activity under your accounts. Notify us promptly of suspected unauthorized access. We may suspend access when reasonably necessary to protect the service, users or data.

3. The service

Astral Datos provides tools for capturing, extracting, organizing, validating and reporting expense information. Features may depend on country, plan and third-party integrations. Automated and AI-generated results can contain errors; customers remain responsible for reviewing outputs and making accounting, tax, payment and compliance decisions.

4. Acceptable use

You may not use the service unlawfully; upload content you lack the right to process; infringe intellectual-property or privacy rights; introduce malware; probe or bypass security; interfere with service operation; reverse engineer except where law permits; or use automated means to overload or extract data from the service.

5. Customer data and privacy

Customers retain their rights in data submitted to the service and grant Astral Datos the limited permission needed to host, process, transmit and display it to provide, secure and improve the contracted service. Each customer is responsible for its notices, legal bases, permissions and instructions for personal data it submits.

6. Fees and trials

Paid features, billing periods, taxes and payment terms are described in the applicable order, proposal or plan. A trial may be limited in duration or functionality and may end unless a paid plan is activated. Except where law or a written agreement requires otherwise, paid fees are non-refundable.

7. Intellectual property and feedback

Astral Datos and its licensors retain all rights in the service, software, branding and documentation. These terms grant only a limited, non-exclusive, non-transferable right to use the service during the applicable subscription. Feedback may be used without restriction or payment, without identifying the person who provided it.

8. Third-party services

Integrations, tax-authority services, payment providers, travel services and other third-party products may have separate terms and privacy practices. Astral Datos is not responsible for third-party systems outside its control, but will handle customer data sent to its own providers as described in the Privacy Policy.

9. Availability and disclaimers

We work to keep the service secure and available, but do not guarantee uninterrupted or error-free operation. To the extent permitted by law, the service is provided without implied warranties of merchantability, fitness for a particular purpose or non-infringement. Nothing in these terms excludes warranties that cannot legally be excluded.

10. Liability

To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, punitive or consequential damages, or lost profits or data. Astral Datos's aggregate liability arising from the service will not exceed the fees paid or payable for the service during the twelve months before the event giving rise to the claim, except where applicable law does not allow that limit.

11. Termination and general terms

Either party may terminate as allowed by the applicable plan or written agreement. On termination, access ends and data is handled according to the agreement and Privacy Policy. The law and venue identified in an applicable order govern; otherwise, applicable conflict-of-law rules determine them. If part of these terms is unenforceable, the remainder stays effective. A written order or data-processing agreement controls over conflicting general terms.
